E-type and XK Club Event Booking Terms and Conditions 

 

YOUR TOUR/EVENT CONTRACT: At the time of asking for a booking to be made on your behalf, you must complete and sign a booking form agreeing to accept the booking conditions as set out below. Please note that these terms apply generally across club Tours and Events. For event-specific terms, please contact the Club HQ.


HOTEL: All reservations, if applicable, are made on a first come first served basis. If the room you request is not available then you will be contacted and offered an alternative.

 

PRICES: Prices are valid at the time of going to press as published on the booking form. The price of the Tour or Event is subject to variation with reference to the various options. The company will, however, absorb up to 2% of any increase in the price of the Tour attributed to such items and no surcharges will be made less than thirty days before the stipulated departure date. Increases over 2% may be passed on to participants.

IF YOU AMEND YOUR BOOKING: If you change any of the arrangements specified on your booking form, we will do all we can to accommodate your new requirements. An administration fee of £25 per booking may be charged for any such change.

 CANCELLATIONS: If you wish to cancel after your booking has been confirmed, you must inform us in writing as soon as possible. We will endeavour to fill your place. Should we not manage to do so, we reserve the right to charge you a cancellation fee based on the following scale:

31-90 days before the event, 25% of the fee; 15-30 days, 50%; 0-14 days, 100%

We strongly recommend that you secure adequate travel insurance at the time of booking.

For day events, or those not including accommodation, no refund is available for cancellations made less than 1 month (4
calendar weeks) prior to the first day of the event.

 AMENDMENTS BY US: Great care is taken to ensure that the descriptions and prices given for each booking are accurate at the time of printing. Changes can occur though, and we reserve the right to change any of the details, including prices, in which case we will advise you of any such change before accepting your booking.  In rare circumstances, we may have to modify the Tour or Event and we may cancel for reasons of low number of bookings or Force Majeure.

Force majeure means unusual and unforeseeable circumstances beyond our control, the consequence of which we could not avoid, including, but not limited to war, threat of war, riot, civil strife, terrorist activity (actual or threatened), industrial dispute, technical problems with transport, machinery or equipment, power failure, natural or nuclear disaster, notifiable disease, fire, flood, drought, adverse weather conditions and level of water in rivers.

Low number of bookings means that an insufficient number of people have booked the Tour or Event to make the operation financially viable in the advertised form in which case the Company will refund the fee in full.

RESPONSIBILITY OF THE COMPANY: The Company accepts no liability for death, injury, damage, loss, accident or delay arising from any act or default of any person or any matter arising in connection with the Tour or Event and the Company makes no warranty or representation in connection therewith.

LAW AND JURISDICTION: The contract between the Company and the Client incorporating these booking conditions and our booking confirmation shall be governed by English law and both parties submit to the exclusive jurisdiction of the English Courts.

INSURANCE: It is recommended that all participants should take out their own insurance for travel, medical, vehicle and vehicle breakdown.
